It is Swimco's policy to respect all government outlined privacy laws and guidelines. In fact, Swimco goes further than these guidelines to protect personal information by refusing to sell or release any information to third parties, and only uses personal data for reasonable business purposes. Individuals, at all times, have the opportunity to consent to the collection and use of their data as well as the option to "opt out" of programs.
From time to time we collect customer names, mailing addresses, email addresses, phone numbers, age and gender on a voluntary basis. Occasionally we may also collect information designed to help us to improve our services to customers. This type of data may include information such as travel behavior, family status, brand awareness, sizing concerns, interest in aquatic fitness, feedback about marketing, and other areas of interest. While processing returns and exchanges, Swimco requires customer phone numbers and addresses to confirm the identity of the individual to ascertain a pattern of returns and to act as an internal control measure. Also, to comply with provincial laws in British Columbia, Swimco collects personal information during all PST-exempt transactions. This data collection is required by law.
Swimco only collects personal data with the consent of the customer. Completion of a Swimco form or survey implies customer consent. If for some reason, an individual chooses not to disclose personal information, we will honour that request. Swimco reserves the right to refuse to accept a return without receiving personal information believing to be relevant to the business situation. Also, Swimco reserves the right to refuse a PST-exempt transaction if a customer refuses to complete the required government form.
The primary use of personal information is for internal business use. For example, information on customer location (i.e., postal codes) may assist us in future location selection. Also, this data may be used to assess target postal code areas for bulk mailings related to announcements such as sales and other specials. Information collected during a contest will also be used to contact the winner(s) by phone, mail or email. Other miscellaneous information such as shopping behaviour, which is voluntarily collected during surveys, may be used to better assess product selection and customer service within particular locations or seasons. Email messages will be emailed to individuals who voluntarily sign up for the Swimco eNewsletter. Membership is optional and can be cancelled at any time.
Information is aggregated and used to discover trends, rather than specific individual behaviour. Swimco does not and will not sell personal customer-related information with third parties or other companies, unless required to do so by law.
Should customers provide information in public realms (i.e., testimonials or vacation photos shared via a request form on the Swimco website) it is deemed that by doing so they have consented to public disclosure. Any comments made to the company by way of feedback forms, letters, emails or other communication are also deemed to be consented to public disclosure, unless there is a request for information to be kept confidential. Comments collected in this manner are most likely going to be positive comments from customers relating to the service that they received in our stores. These comments may be reprinted in our internal newsletter, intranet or other company documents. Sending or providing comments to Swimco is deemed as consent, unless otherwise specified, to allow Swimco to use the information in a prudent business manner.
By entering a Swimco-managed contest, individuals are consenting to the use of their personal information for the purposes of promotion. Reasonable portions of personal information may be used to promote the winner and the contest, such as the winner's name, a photo of the winner and the city in which the winner resides in. Additional specifics of contests are available within the contest rules of each contest.
All three owners of the company and the Marketing Director have full access to customer data and are responsible for the collection, protection, maintenance and usage of it. Furthermore, when Swimco requires an outside party to assist with fulfilling marketing operations, such as mail-outs, that outside party will also temporarily observe relevant personal data. (i.e., name and mailing address) All information will be handled in a prudent business manner in respect of the Privacy Policy within each of the relevant provinces.
Swimco takes the protection of personal information very seriously. All reasonable measures have been taken to ensure that customer data is safely protected. This includes physical, electronic and managerial features designed to protect customer-related personal information from being accessed, used or copied.
Swimco is committed to promptly dealing with concerns relating to privacy issues. Requests should be made in writing, as per suggested legal guidelines. This will ensure that personal information is only released to the correct individual and strangers are not making requests in someone else's name.
